Event Registration Tier System


Events will be registered utilizing a four-tier system based on event capacity. The following system will apply to undergraduate student communities:

 

  • Tier 1: 11-25 attendees with alcohol and 26-60 attendees without alcohol will require completion of a short form through Atlas. Approval will run through the Head of House/AD and the Associate Dean for ResEd will be notified. PD will not be notified. Normal turnaround time for approval will be 1-2 business days.
  • Tier 2: 26-60 attendees with alcohol will require a short form through Atlas. Approval will run through the Head of House/AD and the Associate Dean for ResEd. PD will be notified. If any extenuating circumstances (ratio of non-MIT to MIT students is skewed towards non-MIT, if the event require any permits, if the ratio of 21yo+ is negatively skewed, if the event requires additional contracts) are present, MITPD may require detail. Normal turnaround time for approval will be 3 business days.
  • Tier 3: 61-198 attendees with or without alcohol will require completion of the full form and will likely require a risk management plan. Approval will run through the Head of House/AD, Associate Dean for ResEd, and MITPD. If the event is near 100 attendees with alcohol, the event will require MITPD detail. If the event does not near 100 attendees, but any extenuating circumstances (ratio of non-MIT to MIT students is skewed towards non-MIT, if the event require any permits, if the ratio of 21yo+ is negatively skewed, if the event requires additional contracts) are present MITPD may require detail. Normal turnaround time for approval will be no less than 5 business days.
  • Tier 4: 199 or more attendees with or without alcohol will require completion of the full form and will require a comprehensive risk management plan. Approval will run through the Head of House/AD, Associate Dean for ResEd, and MITPD. Event will require MITPD detail. Normal turnaround time for approval will be no less than 3-4 weeks.

 

Atlas Registration Exceptions-Undergraduate Communities

 

  • Gatherings of fewer than 10 attendees where all attendees are of legal age will not require any sort of official registration through the Atlas system. The committee recognized that mixed aged gatherings and gatherings where all attendees are underage do occur within residences and that students will not register these events. We will rely upon in-house education to help mitigate risk in these instances.
  • Alcohol-free, house events that are open only to current house residents and are approved by heads of house where capacity is 150 or less do not need to be registered through Atlas.

 

The following will apply to graduate student communities: 

 

  • Tier 1: 30-60 attendees with alcohol will require completion of a short form through Atlas. Approval will run through the Associate Dean for Graduate Residential Life in partnership with the Heads of House. PD will not be notified. Normal turnaround time for approval will be 1-2 business days.
  • Tier 2: 61-100 attendees with alcohol will require a short form completion through Atlas. Approval will run through the Associate Dean for Graduate Residential Life in partnership with the Heads of House. MITPD will be notified. If any extenuating circumstances (ratio of non-MIT to MIT students is skewed towards non-MIT, if the event require any permits, if the ratio of 21yo+ is negatively skewed, if the event requires additional contracts) are present MITPD may require detail. Normal turnaround time for approval will be 3 business days.
  • Tier 3: 101-199 attendees with or without alcohol will require completion of the full form through Atlas. Events with alcohol on the higher end of this range will likely require a risk management plan and a police detail. Approval will run through the Associate Dean for Graduate Residential Life in partnership with the Heads of House and MITPD. Normal turnaround time for approval will be no less than 5 business days.
  • Tier 4: 200 or more attendees with or without alcohol will require completion of the full form and is likely to require a comprehensive risk management plan. Approval will run through the Associate Dean for Graduate Residential Life in partnership with the Heads of House and MITPD. Events with alcohol will likely require MITPD detail. Normal turnaround time for approval will be at least 2-3 weeks.

 

Atlas Registration Exceptions-Graduate Communities

 

  • Gatherings of 30 or fewer attendees with alcohol where all students are of legal age or events with 100 or fewer without alcohol will not require any sort of official registration through the Atlas system.
  • House events that are alcohol-free, only open to current house residents and are approved by heads of house where capacity is 250 or less do not need to be registered through Atlas.
